Privacy Policy

Elevate HQ ("we," "us," "our") operates Elevate HQ Tourney, a tournament management platform for Canadian youth softball organizations. This policy explains what we collect, why, and how you can control it. We're a small team preparing for our first pilot tournament in August 2026 — this policy reflects our current practice and will be reviewed by Canadian privacy counsel before we handle real player data at scale.

What we collect

What we collect depends on how you use the platform:

• Everyone with an account: name and email address.
• Tournament directors: the above, plus tournament details you enter and payment information processed by Stripe on our behalf — we never store your card details directly.
• Coaches and team admins: the above, plus roster information you enter: player name, jersey number, and optionally birthday.
• Fans: nothing, by default. Browsing schedules, scores, and brackets doesn't require an account. If you create one to follow a team, we collect your email.

Birthdays and player data

Birthday collection is off by default for every tournament. A tournament director can enable it only when a tournament actually requires age-bracket verification. When it's off, we don't collect it — full stop. This is a deliberate design choice to keep data collection tied to actual need rather than defaulting to "collect everything."

Why we collect it

To run the platform: creating and managing tournaments, registering teams, building schedules and brackets, processing the flat per-team platform fee, verifying age-division eligibility where enabled, and letting fans follow live scores. We don't use your data for anything else.

What we don't do

• We don't sell or rent your data to anyone.
• We don't run advertising on the platform, so there's no ad-targeting data trade.
• We don't share team or player data with anyone outside your tournament's admins.

Where your data lives

Account and tournament data is stored with Supabase (Postgres). Payments are processed by Stripe. Both are established infrastructure providers we rely on rather than building ourselves — we don't run our own servers holding your data.

Your rights

You can request access to, correction of, or deletion of your data at any time by emailinghello@elevatehq.ca. If you're a parent or guardian and want a child's roster information removed, we'll action that request directly — you don't need to go through the team's coach or tournament director.
